Offline conversion tracking, explained: getting CRM outcomes back into Google

Most accounts are trained to produce leads. Very few are trained to produce customers. Offline conversion tracking is the difference — it's how the outcome recorded in your CRM weeks later gets back to Google so the bidding learns from money instead of form fills.

Why form fills are a poor optimization target

Google's automated bidding gets better at producing whatever you tell it to count. If the only thing you count is a submitted form, it will get very good at finding people who submit forms — including tire kickers, job seekers, vendors, and people outside your service area. The account looks healthier every month while your sales team gets busier and no happier.

Feed it qualified leads and closed revenue instead, and the same automation starts hunting for the people who actually buy.

What an offline conversion import is, in plain terms

When someone clicks your ad, Google attaches a unique click identifier — the GCLID — to the landing page URL. If you capture and store that ID with the lead, then later send it back with an outcome and a value, Google can connect the sale to the click that caused it. That send-back is the offline conversion import.

The four pieces you need

  • Click capture. The GCLID (and its equivalents on other platforms) is read from the URL and stored in a hidden field on your forms, usually with a cookie so it survives a visitor browsing around before converting.
  • A place to keep it. A field on the lead record in your CRM that nobody overwrites, plus the timestamp of the original click.
  • Call coverage. Phone leads need the same treatment, which is where call tracking comes in — otherwise a large share of service-business conversions are invisible to this whole system.
  • An import path. Scheduled uploads from your CRM to Google Ads, either through a native integration, a connector, or a scheduled file. Google has a lookback window, so imports need to run regularly rather than quarterly.

How to do offline conversions, step by step

  • Define the stages that matter: lead, qualified lead, appointment set, closed won. Two or three are plenty to start.
  • Create matching conversion actions in Google Ads set up to accept imported data.
  • Add GCLID capture to every form on the site and verify it stores correctly on a real submission.
  • Wire call tracking so phone leads carry the same click data into the CRM.
  • Make sure someone actually marks leads qualified or junk. This is the step that kills most implementations — it's a habit, not a tool.
  • Set the import to run on a schedule, then verify in Google Ads that the imported conversions are arriving and being attributed.
  • Only after the data is flowing and stable, switch bidding to optimize toward the qualified-lead or revenue action.
